Privacy Policy
Last updated: April 1, 2026. This policy describes how SMTP Health Monitor ("we", "us") handles information when you use the cloud dashboard and related hosted services (the "Service").
1. Scope
This policy applies to the Service (the website and APIs you use after signing in). The SMTP Health Monitor WordPress plugin runs on your own server; when you choose to connect it, the plugin sends data to our Service as described below. Local-only use of the plugin without a connection key does not involve our hosted account systems.
2. Information we collect
Account. If you sign in, we process your email address and authentication data through our identity provider to operate magic-link sign-in and your user profile.
Sites you add. When you connect the WordPress plugin, we may receive and store: connection identifiers, your site's public URL, WordPress timezone, and a shared secret used to authorize scheduled checks. We do not receive your WordPress admin password.
Monitoring data. When mail fails or you run checks, the plugin may send event data to our APIs (for example, error messages, timestamps, and identifiers needed to match events to your site). This is so we can show logs and send alerts you configure.
Billing. If you purchase a paid plan, our payment processor receives the information required to complete the transaction (for example, card details are handled by the processor, not stored by us as full card numbers).
Technical data. Like most web services, we may process server logs, IP addresses, and similar data for security, debugging, and reliability.
Product analytics. We may use privacy-conscious analytics on our own marketing and app pages to understand usage and improve the product. We do not use those tools to track your visitors' public WordPress site.
3. How we use information
We use the information above to:
- Provide, secure, and improve the Service;
- Authenticate you and manage your account;
- Store and display logs and alerts you expect from the product;
- Process payments and communicate about billing;
- Comply with law and respond to valid legal requests.
4. Legal bases (EEA/UK users)
Where GDPR applies, we rely on appropriate bases such as: performance of a contract (providing the Service), legitimate interests (security, product improvement, and fraud prevention, balanced against your rights), and consent where required (for example, certain cookies or marketing, if offered).
5. Sharing and processors
We use trusted infrastructure and service providers (for example, hosting, database, email delivery for transactional messages, payment processing, and authentication) to run the Service. They process data only on our instructions and under contractual safeguards appropriate to the service. We do not sell your personal information.
6. Retention
We retain data for as long as your account is active and as needed to provide the Service, comply with law, resolve disputes, and enforce our agreements. Log retention may follow plan limits shown in the product.
7. Security
We implement reasonable technical and organizational measures to protect information. No method of transmission or storage is completely secure.
8. International transfers
We may process data in countries other than where you live, including the United States, where our providers operate. Where required, we use appropriate safeguards for cross-border transfers.
9. Your rights
Depending on your location, you may have rights to access, correct, delete, or export certain personal data, or to object to or restrict some processing. You can contact us as described below. You may also lodge a complaint with a supervisory authority.
10. Children
The Service is not directed at children under 16, and we do not knowingly collect their personal information.
11. Changes
We may update this policy from time to time. We will post the updated version on this page and adjust the "Last updated" date. Material changes may be communicated through the Service or by email where appropriate.
12. Contact
For privacy questions or requests, contact us using the email address associated with your account or the support channel provided in the dashboard, if any.
13. Terms
Use of the Service is also subject to our Terms of Service.
